ENQUIRY PRIVACY / cfw-enquiries-2026-09-29

Your enquiry.
Your information.

This notice covers the public enquiry forms on the CFW website. Account, application and public-profile actions are separate.

What the form collects

Your name, the email or phone you provide, organisation, enquiry interest, optional work link and message. We also record the source page, permitted campaign codes, submission time and the notice version.

Optional resource copies

If you request an emailed guide, we store the submitted email, optional name, guide/version, source page, receipt and optional update preference. This is a resource request, not a sales enquiry or automatic account. Public guide downloads do not require a form. Our email provider delivers copies when configured.

Email subscriptions

The home-page subscription form collects your email and explicit consent for occasional CFW news and programme updates, with the notice version, source page and timestamp. It does not create an account or an enquiry. Authorised staff manage this private list. Withdraw by emailing connect@calicutfashionweek.com; the team records the withdrawal before any future mailing.

Why we use it

To receive your request, route it to the appropriate team, respond and record follow-up. An enquiry does not create an account, application, public profile, booking or agreement. An optional request for email updates is recorded separately; it is not required to receive a response.

Who can access it

Authorised CFW administrators process enquiries. Firebase provides storage and server processing. When enabled, Cloudflare Turnstile checks form submissions for automated abuse and our configured email provider (GoDaddy/Titan for the live service) handles enquiry acknowledgements and team notifications. These services process information needed for their function.

Aggregate platform insights

CFW counts page visits and journey steps such as starting or completing an application, plus generic error counts. A random session identifier expires after 30 minutes and is kept only in this browser tab. We do not send account IDs, email addresses, form contents, profile handles, raw URLs or uploaded files to this reporting system. Browser Do Not Track and Global Privacy Control are respected. Temporary deduplication and abuse-limit records expire after two days; aggregate daily counts expire after 91 days. Reports are restricted to Master Admin. Hosting providers may retain separate security logs.

Technical protection

The intake stores keyed hashes for request and contact limits rather than raw IP addresses in enquiry records. Hosting and security providers may maintain their own operational logs. Please do not submit passwords, payment information, government IDs or confidential documents.

Applications and work access

Internship, model, designer, volunteer and media applications use a signed-in CFW account and are stored separately from public enquiries. Application portfolios are private to authorised CFW staff unless a separate publishing permission is agreed. Accepted team members may receive role and task access in the same account.

Public portfolios and organisation listings

Public profiles are a separate, optional choice from applications. Only details the owner chooses to publish appear in the directory. Uploaders must declare their images safe for work, without nudity or sexual content, and confirm permission to share them. This is self-declaration, not automated image inspection. New organisation listings and submitted changes require CFW team approval. Report a public profile or image to connect@calicutfashionweek.com. Existing records are preserved.

Team briefings and guidance

Active staff and interns can read common CFW updates. Read receipts and required acknowledgements are recorded against the signed-in account. Master Admin can view a read-only staff workspace to guide people without signing in as them. Neither viewing nor previewing marks another person’s work or updates complete.

Awards nominations

A nomination records the nominator’s contact details, the nominee’s name, locality, work link, local connection and reason for nomination. The nominator confirms permission to share this information for private CFW review. Any event-interest request is considered separately; it is not admission, shortlisting or an award. The nominee is not added to an email subscription or public profile automatically. Awards notice: cfw-awards-2026-10-18.

Private team support

Signed-in users can send a private support request with a category, subject and message. We link it to the account name and email and record replies, staff assignment, status and timestamps. Only the requester and authorised Reception, Operations leadership and Master Admin staff can access the conversation. Replies create in-app updates; support does not automatically send email. Do not include passwords, verification links or confidential documents. Support records are retained for follow-up and reviewed by the team; contact connect@calicutfashionweek.com to request correction or deletion.

Corrections, deletion and update preferences

Contact connect@calicutfashionweek.com with the enquiry reference to request a correction, deletion or withdrawal of your email-update preference. The team may need to verify the request before changing a record. Enquiries are retained for follow-up and appropriate operational records, with retention reviewed by the team.

Public work stays a separate choice

Submitting a portfolio link for an enquiry does not give permission to publish its images or present you as an official partner. Public use requires a separate agreement or publishing action.
